Phase 2 Draft Records Retention Schedule and Crosswalk Available For Review

The Nevada State Library, Archives & Public Records (NSLAPR)-State Records Program (SRP) has released the Phase 2 draft of the updated Local Government Records Retention Schedule, along with the accompanying crosswalk, for review and feedback. This project aims to improve records management efficiency and clarity for local government entities across Nevada.

Phase 2 Highlights

The Phase 2 Draft Schedule and Crosswalk introduce several key updates:

  • A restructured framework built on 7 functional categories and 46 standardized subcategories

  • New records series identifiers using category and subcategory prefixes (e.g., FIN-ACC-001)

  • Simplified disposition methods: Permanent or Destroy Securely

  • Removal of legal citations to reduce confusion and improve clarity

  • A crosswalk tool to map current LRDA-based series to their new function-based equivalents

  • Concise, broadly applicable records series descriptions to accommodate Nevada's diverse local government structures

An informational document explaining how to interpret and apply the crosswalk is also available.
It provides guidance on:

  • Understanding the new function-based identifiers and categories

  • Locating legacy LRDA series and their updated equivalents

  • Applying the crosswalk to update agency-specific retention practices

Call for Feedback

We invite all local government entities to review the draft materials and submit feedback by December 1, 2025. Both substantive and non-substantive recommendations are welcome and will be carefully considered as the schedule is finalized.

NSLAPR is committed to supporting Nevada’s local governments by providing practical tools and resources for more effective records management.

Project Timeline

  • Phase 1 – Initial analysis determined that fully consolidating the existing schedule was not feasible due to the wide variation in local government structures and recordkeeping practices. The project pivoted to a function-based approach, replacing legacy series with a streamlined “big bucket” schedule aligned by core function rather than department.

  • Phase 2 – Draft schedule and crosswalk available now for review and comment until December 1, 2025..

  • Phase 3 (Beginning February 2026) – The updated schedule will be implemented and reviewed on a two-year cycle to stay current with legislative changes and best practices. Local Government Entities will continue to be invited to provide feedback.
