Research Room Policy

Researchers are expected to follow instructions provided by staff members. Behavior that obstructs others’ use of the facilities, impedes the staff’s ability to perform their duties, or places materials at risk is not permitted. People who are uncooperative may be asked to leave.

Please respect the operating hours of the Research Room. The Archives welcomes requests to conduct research outside the Reading Room’s operating hours. Such requests must be made in advance.

  1. All researchers must fill out and sign a registration form on their initial visit of each year. For subsequent visits in the same year, researchers are only required to sign the visitors’ log. All forms are securely destroyed at the end of each fiscal year.
  2. Researchers under the age of 16 must be accompanied by an adult.
  3. The Research Room is reserved for those who are actively using the materials.
  4. No food, beverages, or tobacco products are allowed in the Research Room.
  5. Researchers are responsible for their personal belongings at all times. Personal belongings such as briefcases, backpacks, laptop sleeves, and coats must be left in the designated area before researchers are allowed access to archival materials.
  6. Cell phones must be silenced. Talking on cell phones is not allowed in the Research Room. Please leave the room to answer or make a phone call.
  7. Archival materials may not be removed from the Research Room. No materials can be requested less than 10 minutes before closing. Materials in use will be collected by staff 5 minutes prior to closing.
  8. Only pencils are allowed for note taking. Ink pens are not allowed. Pencils are available upon request.
  9. Only one folder at a time may be removed from a box. A placeholder must be used. Materials must remain in existing order. If you suspect an error in the order of the materials, notify staff.
  10. All items must be supported and handled with care. Researchers must not lean against, trace, write on, or fold archival materials. Please handle all materials flat on the table or in cradle if bound. Gloves will be provided for handling photographic material if it is not sleeved.
  11. Non-flash photography and self-scanning are permitted. Staff may forbid the use of cameras or scanners if handling or equipment poses any risk to the materials.

You are welcome to fill out the Researcher Registration Form when you arrive at the Research Room or print and fill out the registration form in advance if you would prefer. Printable versions of the policy and the form are available below.
