General Guidelines for Proposing Records Series Modifications

We invite local government entities to review the following guidelines for proposing changes to the records retention schedule. Your feedback and suggestions are crucial for refine and improve the schedule, ensuring they remain relevant and beneficial to all Nevada local government entities. Please carefully review the guidelines below and submit any proposed additions, deletions, or modifications according to the outlined process. Your contributions are vital in maintaining a well-organized and effective local government records retention schedule. The guidelines for submission are based on NAC 239.155 requirements.

Non-Substantive Changes: Minor adjustments, such as specifying the office of record or adding media formats, do not require formal submission and should be managed internally by the local government entity. These changes do not affect retention periods or disposition methods and do not need approval from the State Records Management Program.

Substantive Changes: Proposals that modify the function or purpose of a records series, alter disposition methods, or reduce retention periods must be submitted for review. The State Records Management Program will evaluate these changes for their relevance and benefits to all Nevada local government entities

Cross-Departmental Design: The Local Government Records Retention Schedules are organized by Functional Sections to avoid duplication. Each records series should appear in only one section.

Justification Required: Each modification request must include a detailed justification from the local government entity as to why the current record series should be created, modified, or deleted from the current Local Government Records Retention Schedule. This would include any legal citations, statues or other regulations justifying the records schedule update.
