Subgrantees are responsible for notifying the NSLAPR LSTA Coordinator, in writing, if there are any changes to key project personnel. This includes the Library Director, project manager, authorized certifying official, etc.
Prepare for your final report - collect data as you go!
In the Community Grants Portal, both Reimbursement Requests and Advance Payment Reconciliations are submitted using the same “Reimbursement” function.
Although the button is labeled Reimbursement, it also serves as the submission tool for reconciling advance payments. Submitting a reconciliation report through this function does not create a new payment request. The system records the reconciliation correctly within your grant record.
Submit all reimbursement or reconciliation requests online through the Community Grants Portal.
Retain original copies for your grant records in accordance with the IMLS LSTA Record Retention Schedule.
Backup documentation for every item listed on the reimbursement / reconciliation form must be uploaded - invoices, proof of payment and Time and Effort forms for salary/wages.
Log in to the Community Grants Portal.
Click Reimbursements in the top menu.
Select your grant project and click Create Transaction.
Complete all required fields, including the reimbursement or reconciliation amount.
Upload the required documents:
The completed Excel reimbursement or reconciliation form (link below)
All backup documentation, including invoices, proof of payment, and Time and Effort forms (link below) for LSTA-funded salaries, if applicable
Important:
Create one transaction per reimbursement request (not per document).
Label them sequentially: 1st Reimbursement Request, 2nd Reimbursement Request, and so on.
Upload all related backup documents within the same transaction. Do not create separate transactions for each file.
The Portal automatically tracks your remaining award balance.

If awarded an LSTA grant, the Nevada State Library staff would like to help you celebrate your successes! If you host an open house, launch party, or special event, consider inviting the State Librarian. Contact the LSTA Coordinator for arrangements.
Send timely press releases to the LSTA coordinator for forwarding to IMLS. They can often help promote at the national level.
As a grant recipient, you are required to acknowledge the IMLS and the Nevada State Library, Archives and Public Records in your announcements, flyers, press releases, banners, videos, events, as well as on all grant funded materials and equipment. Example:

A picture is worth 1000 words, so we highly recommend that photo documentation and video URLs be submitted with your final report. If members of the public are in your snapshots, also get a photo release.
